For allied health clinics

Give your front desk less to chase and more time for patients.

Bookings, reminders, recalls, enquiries and documentation are often spread across practice software, phones and inboxes. Zari AI helps allied health clinics connect their systems, improve booking and recall follow-up and simplify the workflows that keep the clinic running.

A fixed-fee, two-week independent audit. Businesses with up to 10 total staff. More than 10? Request a custom quote.

The gap

Your clinic is better than its admin makes it look.

Most clinics deliver excellent care. The systems behind the front desk have grown up one tool at a time, and they have not grown up together. When nothing connects the pieces, it tends to look like this:

  1. No-shows and late cancellations are followed up manually.
  2. Recalls and rebooking depend on individual effort.
  3. Enquiries outside opening hours wait until the next working day.
  4. Patient details are handled in more than one system.
  5. Front-desk time is taken up by repetitive administration.

The frustrating part? You may never see exactly what it costs.

A patient enquires after hours. A booking is made, then a reminder is sent by hand, if someone remembers. If the patient does not attend, rebooking depends on a phone call.

As the clinic grows, these small gaps take up more of the day.

What the audit looks at

Six places your systems may be holding you back.

For an allied health clinic, the audit follows the work from first enquiry to final invoice and looks hardest where information is retyped, delayed or lost.

Bookings and reminders

Improve the flow from enquiry to confirmed appointment, with clearer reminder and confirmation workflows.

Recall and rebooking

Create a consistent process for recalls and for following up missed appointments.

Enquiries and intake

Bring after-hours enquiries and intake details into a consistent process with a clear next step.

Practice software integration

Connect your practice software with other platforms where technically appropriate, reducing duplicate entry. We confirm what your software supports before we design anything.

Practical automation

Automate repetitive steps where doing so improves reliability or the patient experience. Staff stay in charge of anything clinical.

Front-desk workload

Reduce repetitive tasks at the front desk with clearer workflows, so staff have more time with patients.

If this is you

If you are ready to…

Then the audit is for you.

You have already built the business. Now it is time to get the systems behind it working as well as you do.

  1. Confirm and remind patients without manual effort.
  2. Follow up missed appointments in a consistent way.
  3. Acknowledge after-hours enquiries instead of letting them wait.
  4. Stop keying patient details into more than one system.
  5. Get more value from your practice software.
  6. Know what to fix first, and roughly what it will cost.
Questions from Allied Health Clinics

Before you decide.

Will this work with our practice management software?

We confirm what your software supports before we recommend or design anything, and we tell you plainly if a connection is not sensible.

How is patient information handled?

Health information needs careful handling. We work under your privacy obligations, use read-only access limited to what the assessment needs, and can sign your NDA.

Will automation replace our front-desk staff?

No. The aim is to remove repetitive administration, not people. Staff stay in charge of anything clinical or that needs judgement.

Why this exists

A decade of technology work. One clear approach.

Growing a business should not be held back by systems that no longer fit it. You have built the expertise, the reputation and the client relationships. The technology behind them simply needs to catch up.

I have spent more than a decade in technology management, systems development and digital transformation, with a Bachelor of Technology in Computer Engineering and a master’s degree in International Business. That mix matters. A technical answer has to make commercial sense, or it does not get used.

A CRM, an automation or a new platform on its own is rarely the answer. The opportunity is in how the pieces work together, and in building them around your business, your people and your goals.

That is why the Business & Technology Audit comes first. Before anything is built, we look at your systems, your processes and your customer journey. We work out what is working, what is holding you back and where the biggest opportunities are. Then you decide what to do about it.

No cookie-cutter recommendations. No platform to sell. No unnecessary complexity.

The offer

The Business & Technology Audit. Two weeks. One clear plan.

An independent, fixed-fee assessment of your sales, marketing and operational systems, led personally by Farhad. You finish with independent recommendations, a prioritised roadmap and indicative costs, whether or not you build with us.

Systems→Processes→Opportunities→Roadmap→Decision

01

Kickoff and discovery

We establish your objectives, confirm the scope and gather what we need to understand your business.

02

Systems and software review

Your CRM, sales and marketing platforms, integrations and relevant operational technology.

03

Process and workflow assessment

How information, leads and work move through the business, including manual steps, handoffs and bottlenecks.

04

Commercial opportunities

Gaps in lead management, customer journeys and pipeline visibility that may be costing revenue.

05

Prioritised roadmap

Improvements ranked by likely value and effort, with indicative implementation costs and business impact.

06

Findings presentation and strategy workshop

A walk-through of the findings, recommendations and next steps, so you can decide with confidence.

The audit is valuable on its own. You are free to implement the recommendations internally, with another provider or with Zari AI. If you proceed with Zari AI, 50% of the audit fee is credited towards that engagement, subject to the agreed terms.

The two weeks

What to expect over the next two weeks.

This is not a report you commission and hope for the best. We take the time to understand the business, then tell you plainly what to do about it.

DAYS 1 TO 3

Understand

Before we assess anything, we learn how the business runs.

A kickoff call and discovery session with you, then short conversations with the people who do the work. We look at:

  • Your CRM and sales tools
  • Marketing platforms
  • Operational and finance systems
  • How an enquiry moves through the business
  • Manual steps and handoffs
  • Reporting and visibility
  • Existing integrations and automation

DAYS 4 TO 9

Assess and prioritise

Findings become a plan.

We review your platforms and workflows directly and test the customer journey. We turn what we find into a prioritised roadmap, with indicative effort, cost and business impact for each recommendation.

DAY 10

Readout

You leave knowing what to fix first.

We walk you and your team through the findings and next steps in a strategy presentation and workshop, so you can decide what to do, in what order and why.

The two-week timeframe begins at the agreed kickoff and depends on timely access to the required information, systems and people.

After the audit

Then it is your call. Nothing is locked in.

The audit is the diagnosis. What happens next depends on you.

OPTION 1

Implement it yourself

Take the roadmap to your own team. It is written so someone else can act on it.

OPTION 2

Use another provider

The recommendations are independent of any vendor, so any capable provider can deliver them.

OPTION 3

Build with Zari AI

Bespoke implementation, planned from the roadmap we wrote. 50% of the audit fee is credited towards the engagement, subject to the agreed terms.

Ongoing strategic advisory and optimisation is available if you want it, and optional if you do not.

Meet Farhad

Hi, I’m Farhad Malegam. I help businesses make technology work together.

For more than a decade I have worked in technology management, systems development and digital transformation. My professional background includes work with Ernst & Young, NSW Health, iOmniscient and Greenstone Financial Services.

I founded Zari AI to give businesses honest advice about their technology, and the ability to act on it.

  • You work directly with me. Not an account manager relaying everything to someone else.
  • Independent advice. No platform to sell, so the recommendation follows your requirements.
  • Strategy that can be built. The person who writes the roadmap can also deliver it.
  • Small and accountable. Direct accountability from assessment through to delivery.

Getting started

You do not need to have it all worked out. That is the point of the audit.

01

Check the fit

Read the audit page. If you have up to 10 total staff, you can buy the standard audit. Larger businesses can request a custom quote.

02

Purchase your audit

Purchase through the audit site, then book your kickoff call. Nothing is built without you knowing what and why.

03

We assess

We confirm the requirements and information we need, then assess your systems and processes over two weeks.

04

Decide with a plan

You receive the findings, the roadmap and the indicative costs, and choose what to do next.

Simple. Independent. Done properly.

The outcome

Your business has outgrown its systems.

Perhaps the biggest change is not in the report. It is how it feels to know where you stand, what is worth fixing and what is not, instead of guessing.

By the end of the audit you will have
  • A clear picture of how your systems and processes really work.
  • The inefficiencies and revenue gaps, identified.
  • A prioritised roadmap with indicative effort, costs and impact.
  • Independent recommendations on tools, including what to keep.
  • A findings presentation and strategy workshop.
  • The confidence to decide what to do next.
Is this you?

The audit is not for everyone.

It is right for you if:

  • You run an established business with CRM, sales, marketing or operational software already in place.
  • You have up to 10 total staff, or you are happy to request a custom quote.
  • You suspect your systems are not delivering their full value.
  • You want an independent view before you buy, build or replace anything.
  • You value a clear strategy over a quick fix.
  • You can give us access to your systems and time with your team.

It may not be for you if:

  • You want a specific platform installed, with no assessment first.
  • You are looking for the cheapest possible option.
  • You expect guaranteed revenue, leads or rankings. No one can promise those.
  • You expect unlimited scope inside a fixed-fee, two-week audit.
  • You cannot provide access to your systems or time with your team.

We are not trying to be the right fit for everyone. We are trying to be the right fit for businesses that want to understand their systems before they invest in changing them.

Questions

Got questions? We have answers.

How much does the audit cost?

$5,000 + GST for the standard two-week audit, for businesses with up to 10 total staff. Businesses with more than 10 total staff receive a custom quote. If you proceed with a Zari AI implementation engagement, 50% of the audit fee is credited towards it, subject to the agreed terms.

Does the staff count include people who will not be involved?

Yes. The threshold is based on your total staff, not only the people taking part in the assessment.

Do we have to replace our existing software?

Not necessarily. We assess what you already have and recommend improvements based on your needs. That may mean optimising existing tools, connecting systems or introducing new technology where it is justified.

Will Zari AI implement the recommendations?

We can. Implementation is a separate engagement and you are under no obligation to proceed with Zari AI. The report is yours to take to your own team or another provider.

What happens after I purchase?

You are directed to book your kickoff call. We then confirm the engagement requirements and the information needed to begin.

What access do you need to our systems?

Read-only access to the platforms in scope, for the length of the assessment. We make no changes, and access is removed when we finish. We are happy to sign your NDA.

Can I get a refund once the audit has started?

Because the assessment begins before you receive anything, fees are not refundable once work has started. If anything in your findings is unclear, we will work through it with you until you know what to do next.

Your next step

Better business performance starts with a clearer picture.

Find out what is working, what is holding you back and which improvements deserve your attention first.
