Dental Recall and Reactivation in Australia: A Practical System That Stays AHPRA-Compliant

25 April 2026 · Farhad Malegam

The Recall List Is Not a Spreadsheet Problem

I’ve had seasons where I avoided things I knew were important. Not because I didn’t care. Because it felt messy. You tell yourself youll do it when you have time, then time never arrives.

A lot of dental clinics treat recall like that. The list exists. The intention is good. But it becomes a spreadsheet that nobody wants to touch.

And then the clinic wonders why chairs are quiet in two months time.

The goal: consistent care, not marketing

Recall is not just revenue. Its continuity of care. That framing matters, especially in a regulated environment where trust is everything.

A simple recall system you can run every week

Step 1: Segment the list (do not treat everyone the same)

Start with three groups:

Segment Definition Priority
Overdue hygiene 6+ months past due High
Treatment incomplete Accepted plan not completed High
Lapsed patients No visit in 1824 months Medium

Step 2: Use a 3-touch sequence that feels normal

  • Touch 1 (SMS): short reminder with a link to book
  • Touch 2 (Email): slightly more detail, include available times
  • Touch 3 (Call): for high-priority segments only

Keep the tone calm and respectful. No guilt.

Step 3: Keep wording factual and avoid risky claims

In Australia, advertising rules matter. Be careful with:

  • testimonials about clinical outcomes
  • exaggerated claims
  • before and after images used in a way that misleads

If youre unsure, default to factual language:

  • You are due for a check-up
  • We have appointments available
  • Reply to reschedule

Step 4: Track outcomes so the system improves

Track:

  • contacted
  • booked
  • declined
  • no response
  • wrong number

A simple table is enough.

Week Segment Contacted Booked Notes
1 Overdue hygiene 40 12 SMS link improved bookings

What not to do (even if it works)

  • blasting the whole database with the same message
  • using patient reviews in a way that breaches the testimonial rules
  • making clinical promises you cannot substantiate

Long-term trust beats short-term spikes.

If you want a recall workflow template (segments, message drafts, and a weekly tracking sheet), I can share a simple version you can hand to your practice manager. If it fits, book a short call
